5. Sharing your data

With employers and recruiters

When you submit a job application, your application data is shared with the employer or recruiter who posted the listing. This sharing is necessary to provide the service.

With Job Boardly

OT Jobs Australia is built and operated using Job Boardly, a platform provided by Glacier Systems Pty Ltd (ABN 47 687 105 184), an Australian company. Job Boardly acts as a data processor on behalf of The Design Group Creative Pty Limited, providing the technical infrastructure for this job board. Job Boardly’s infrastructure is primarily hosted in the United States via Amazon Web Services and Railway.

With other third parties

We may also share your data with:

  • Professional advisors (e.g. legal or technical support)
  • Regulators or law enforcement, where required by law
  • Other parties, with your explicit consent

We do not sell your personal data.


6. Data retention

We retain your personal data for the following periods:

Data type Retention period
Job seeker profile and application data 12 months from last activity, or until you delete your account
Employer and recruiter account and listing data 12 months from last activity, or until you delete your account
Billing records 7 years (as required by applicable tax law)
Server and access logs 90 days

Dormant account notification: Before deleting any account under this retention schedule, we will send a warning email to your registered email address notifying you that your account is scheduled for deletion. If you log in within 30 days of that notification, your account will be retained and the retention period will reset. “Activity” means any login, profile update, job application, job posting, or other action taken through your account.

After the applicable retention period, your data is securely deleted or anonymised. You may request deletion of your data at any time by contacting us at support@otjobsaustralia.com.au.


7. Cookies and similar technologies

We use cookies and similar storage technologies on OT Jobs Australia to operate the site and, depending on what we have chosen to enable, to support analytics or advertising.

The cookies that may be set fall into the following categories:

  • Strictly necessary — required for the site to work (keeping you logged in, security tokens, load balancing, bot protection, and the cookie that remembers your consent choice). These are always on.

Our consent record

When you make a choice, we keep a short record (held on our behalf by Job Boardly, our platform provider) so we can demonstrate that we asked for and obtained (or did not obtain) your consent in line with applicable law. The record contains a pseudonymous ID, a timestamp, your truncated IP address, your browser user-agent string, the version of the banner you saw, and the choice you made. We retain consent records for up to 24 months from the date of the choice.


8. Security

We take the security of your personal data seriously. Job Boardly, as our platform provider, implements industry-standard security measures including encryption of data in transit (TLS) and at rest, access controls, and regular security monitoring. However, no system is completely secure — we encourage you to use a strong password and keep your login details safe.


9. Changes to this policy

We may update this Privacy Policy from time to time. If changes are significant, we will notify you by email or by posting a notice on OT Jobs Australia. The latest version will always be available on this page.
